Submitted by Roger Evans on Wed, 09/02/2009 - 00:37.Patient Services Coordinator II (2193225), Description: The Patient Services Coordinator II, under general supervision provides administrative support to health care providers in a high-volume ambulatory setting, functioning as the primary interface between the patient and the providers. Requires discretion and judgment to organize priorities, complete tasks and handle confidential patient information. Responsibilities include scheduling patient appointments, surgeries, and diagnostic testing; obtaining referrals and pre-certifications as needed; patient reception; transcription of consultation letters and notes; preparation of correspondence; performing photocopying, faxing, and filing; and answering telephones. The incumbent will work cooperatively with Nurse Coordinators and reports to Administrative Director. Responsibilities: I. PATIENT CARE RESPONSIBILITIES · Provides support and information to providers to problem solve and manage complex administrative patient issues. · Performs the daily management coordinating patient evaluation appointments and managing the Nurse Coordinator schedules. · Triages and manages more complex telephone calls, utilizing courteous customer service skills. · Maintains confidentiality and privacy, which is consistent with HIPAA guidelines. · Completely performs and is a resource to other team members in all revenue enhancement activities, including but not limited to registration verification. · Refers patients to Patient Financial Services for financial counseling as appropriate. · Schedules patient appointments for specialty visits and diagnostic testing, as required. · Coordinates the scheduling of diagnostic testing, transplant evaluation appointments, including PATA. · Must work cooperatively with other physician, surgeon, and other care giver office staff in order to schedule patient and donor appointments in a timely manner. · Coordinates and tracks referral appointments and visits. · Provides cross coverage for other Practice staff members for absences, vacations, etc. and during variations in workflow, as needed · Performs all other related tasks which would facilitate the flow of patients through the practice, or which would enhance the quality of service to patients. · Retrieves medical records prior to patient office hours; ensures that all necessary laboratory and radiological test results and medical records are obtained, from within and outside of MGH, and properly filed prior to patient's office visit · Distributes/mails patient information, maps, etc. prior to patient appointments. · Mails listing packets and other letters and information regarding the patient's UNOS status. · Answers patient/family questions regarding appointments, and pre-operative instructions as appropriate. · Arranges for interpreter services as needed prior to patient appointment. · Verifies that patients receive their appointments. · Ensures that letters are sent to referring physician for each evaluation visit within one week of the visit. · Photocopies and files patient-related paperwork (office/operative notes, consultation/medical necessity letters, etc.) in an accurate and timely manner. · Reschedules any canceled appointments in a timely manner. · Responds to requests from physicians' offices, family, or government agencies for letters of medical necessity, letters to schools, copies of medical records, etc. as necessary. · Retrieves and returns hospital medical records for physicians for research, signature, billing, etc. as needed. · Interacts in a courteous manner with physicians, nurses, and administrative staff within and outside of MGH to coordinate care of patients, obtain referrals, provide feedback, answer questions, etc. · Assists with training and orientation of new staff, where applicable. II. ADMINISTRATIVE RESPONSIBILITIES · Maintains transplant nurse coordinator(s) calendar. · Answers telephones; arranges for forwarding and removal of telephones to voice mail; places/returns telephone calls for nurse coordinators as requested. · Retrieves, screens and triages nurse coordinators' mail. · Coordinates correspondence, completion of applications, forms, and reports; schedules interviews/meetings/facilities; coordinates outside services; places telephone calls; participates in meetings. · Performs photocopying, faxing, filing, scanning as requested. · Orders office and clinical supplies and forms, stamps, etc. as needed. · Cross covers for other staff members for breaks, lunches, vacations, etc. and during variations in work flow as needed. · Establishes and maintains databases for storage of records, patient lists, mailing lists, etc. according to nurse coordinators' needs. · Participates in staff meetings. · Perform/participate in special projects for Nurse Coordinators, Physicians, Office/Program Manager or Administrative Director as may arise from time-to-time. All duties and responsibilities listed above are essential functions of this position unless otherwise noted. Skills, Abilities, Competencies: · Typing 55 to 65 WPM required. · Exceptional computer skills (including word processing, database, electronic mail, internet, and spreadsheets) required. · Proficient with Microsoft Office suite, Outlook, Excel, Access, and PowerPoint. · Exceptional organizational skills, flexibility to handle multiple tasks and deadline pressures, and accurate attention to details. · Good command of English language, including medical and scientific terminology. · Excellent interpersonal skills. · Knowledge of computer skills necessary to use appropriate modules of IDX, electronic medical record modules and transition to PATCOM, as required. · Ability to work independently or in a team environment · Demonstrated ability to work effectively and courteously with diverse groups of patients, staff and providers while handling various tasks simultaneously. · Demonstrated ability to problem solve and function as a resource to other members of the team, and resolve complex issues on behalf of the providers and the patients. · Is knowledgeable and compliant in all hospital, State and Federal regulatory requirements, including hospital policy and procedures (where applicable to the performance of the job), Joint Commission, and Health Insurance Portability and Accountability Act of 1996 (HIPAA).
